Plan for Saltram Crescent Street party 3rd June 2012




Road closure

  • Council will drop signs, bollards, etc off on Saturday night and collect Sunday night/Monday morning.
  • We will close road at 9am On Sunday and reopen it at 9pm Sunday by which time the road must be clear.

Bouncy castle

  • Maria/Pete arranging this and paying, to be 100% reimbursed from kitty
  • Being delivered 11am, collected 6pm
  • We will have a rota with 20 minute slots for people to volunteer to supervise.
  • Children must not be allowed to use bouncy castle unsupervised.
  • All adults must sign accident waiver before children can use bouncy castle.
  • Max 6 children at at time.
  • No boisterous activity

Music

  • Jo and Selena arranging and paying for sound system/providing equipment. May need to be reimbursed from spare kitty money
  • Nick to provid emixer and mic for public addresses
  • To be set up on pavement next to college gates (or Jo’s front garden?) TBC
  • Will require extension lead to be run into Jo’s front room. PAY ATTENTION TO TRIP HAZARDS - put rug over cable on pavement or string up high

Tables/chairs

  • Maria has arranged to borrow 6 trestle tables and 30 chairs from the college. We will need to put them back inside the car park and lock after use. These will be set up as on paln for one central table that children can sit at.
  • People are being asked to bring their own tables and chairs out

Food

  • We are not having central food/catering but asking people to bring their own/food for the central table.
  • Propose two meal sittings:
    • Lunch 2-3pm - various sandwiches, cakes, crisps, etc
    • Supper - 5-7pm - a large weber BBQ’s will be lit and people can cook their own food. CAUTION - keep children/crowds away from BBQ’s. People can light their BBQ’s too. ATTENTION - have water close by for fire risk
  • NEEDED - who can bring a few bags of charcoal/lighter blocks and take some responsibility for a central BBQ. Fiona?

Drink

  • People to bring own drinks/cups/glasses (plastic ideally please)
  • We will get a few sacks of ice delivered
  • Who has got any large containers we can use as ice buckets (builders trugs?)

Rubbish

  • Westminster will be providing 50 special recycling sacks for use for all rubbish except food.
  • Black bags will be provided for food and othe rubbish.
  • Can we try to keep the street tidy as we go to minimise a big effort at the end of the day.
  • Can everyone PLEASE stay around to help clear up at the end of the day.

Financials

  • Don’t want to make a big fuss of this but can’t afford to cover it either.
  • Nick to email a PayPal request to everyone who has offered a donation - or please put money in any envelope through door at No 53, clearly marked ‘Street Party Donation’
  • We will also have a collection box and go round once or twice on the day if required.
  • Nick will produce a complete account of all costs and receipts. Anything left over will be given to a charity to be specified and agreed.

    • string some bunting across road - Nick
    • Set up bouncy castle - Pete
    • Set up tables/Nick/Pete
1pm    Set up sound system/start music (After child’s christening) - Jo
2-3pm     Lunch
5-7pm    BBQs lit
6pm     Bouncy castle removed
8pm    Start clearing street/clearing rubbish
9pm     Remove road closure (before it gets dark)
